Checklist

Renter move-out checklist with photo documentation

This is for renters who want a clear record of the apartment's condition when they leave, in case there is a dispute about the security deposit. Allow an hour or two, and do the photo steps after you have cleaned and the rooms are empty.

1. Before you start (weeks ahead)
2. Fix and clean
3. Photos and video, room by room
4. Keep the evidence safe
5. Hand-back day

Why photos and a dated record help

Security deposits are governed by state and local law, not by one federal rule, so the deadline for returning a deposit and the list of allowed deductions differ from place to place. Whatever your state says, a disagreement about damage usually comes down to who can show what the apartment looked like and when. Photos and video taken after you clean are a simple record of how you left it, and move-in photos let you show what was already there.

Normal wear versus damage

Many states distinguish ordinary wear from damage, and landlords generally cannot charge for ordinary wear, such as light carpet wear or faded paint after years of use. What counts is set by your state's law and your lease, so this checklist does not decide it for you. If you are unsure, look up your state's attorney general or housing agency page on security deposits, or contact a local tenant-rights organization or legal aid office.

What this checklist cannot do

It cannot tell you what you owe or what you are owed, and it is not legal advice. Dates, notice rules and rules about forwarding addresses are set by the state, and a lease can add its own conditions. If you receive a deduction statement you disagree with, keep your photos, reply in writing, and get advice from a tenant organization, legal aid office or your state's consumer protection office before taking further steps.

Where this comes from

We read several published tenant-guidance and property-management pages on move-out documentation. They agree on the common steps used here: clean first, photograph and video each room, compare with move-in photos, give a forwarding address in writing, and note that return deadlines range from about two weeks to two months depending on the state. The pages vary in quality, so we kept only the points they share and did not state any state's exact rules. Please confirm yours with your state attorney general, housing agency or tenant-rights organization.
